Journals and reversing journals

Journals record wages, depreciation, accruals, prepayments and corrections. A reversing journal posts its own reversal on the first day of the next month.

Posting a journal

  1. Open Journals

    On the client, open the Journals tab and press "New journal".

  2. Enter the header

    Enter the date, a reference and a description of what the journal is for.

  3. Enter the lines

    For each line choose the account and enter a debit or a credit, with VAT and a department if needed. Debits must equal credits.

  4. Reverse it if needed

    For an accrual or prepayment tick "Reversing journal". The reversal is posted at the same time, dated the first of next month, with the reference REV and the debits and credits swapped.

  5. Post

    Press "Post the journal".

Changing and deleting

Open a journal and press "Change". Saving deletes the old journal and posts the changed one in its place. Deleting a reversing journal also deletes its reversal.

A journal posted from a bank line, a sales or purchase document or payroll is changed where it came from. Nothing dated on or before the lock date can be changed.

Writing off a balance

Under Journals choose "Write off a balance" to clear a small balance on any account, for example to 7901 Bad debts written off. Customer and supplier balances are written off from Sales or Purchases.
