Importing a trial balance

Year-end accounts start from the client's trial balance. Accountin reads the CSV from any package, and last year's trial balance can come in at the same time for the comparatives.

Importing

  1. Export the trial balance

From the old package, export the trial balance at the year end as CSV. VT Transaction+ exports it from the Edit menu.

  2. Open the import

On the client press "Import a trial balance".

  3. Enter this year

Enter the period start and end, choose the accounts to prepare, and choose the file.

  4. Add last year

Optionally add last year's trial balance and dates. Leave the dates blank for the twelve months before this period.

  5. Import

Press "Import and review the mapping".

How the file is read

  • CSV, .txt or .tsv files up to 2 MB, separated by commas, semicolons or tabs. Title rows above the headings are skipped.
  • Columns are found from headings such as code, nominal code, name, debit, credit or balance.
  • Amounts can carry £ signs, commas, brackets, a trailing minus or Dr and Cr.
  • Subtotal rows are skipped, and a total row is checked against the rows above it.
  • A trial balance that does not balance is refused, with the difference shown.
  • The period can be up to 18 months, the most Companies House allows.

Which accounts

A limited company can have FRS 102 Section 1A small company accounts or FRS 105 micro-entity accounts. Guarantee companies and LLPs get FRS 102 Section 1A. See FRS 105 and FRS 102 Section 1A compared.
