Sales invoices and credit notes

Sales invoices can be raised in Accountin and numbered in sequence, or entered from invoices the client issued on paper. A credit note cancels or reduces an invoice.

Raising an invoice

  1. Start it

    On the Sales tab press "New invoice".

  2. Choose the customer

    Their currency, usual account and VAT code fill in. The due date comes from their credit terms if left blank.

  3. Add the lines

    Enter a description, quantity, price, account and VAT code for each line, or pick a product.

  4. Save it

    Press "Save as draft" to come back to it, or "Save and post". The number is given when it is posted, so the sequence has no gaps.

  5. Send it

    Open the invoice and press "Download PDF", which opens the print dialog with "Save as PDF". Emailing from Accountin is not set up yet.

Credit notes

"Credit it" on a posted invoice makes a draft credit note for the whole amount, to change and post. A numbered invoice is never deleted; it is cancelled with a credit note.

For many invoices at once use "Batch entry". Every row is checked first, and nothing posts until they all pass.

Bad debts

"Write off as a bad debt" on an unpaid invoice posts the write-off. Tick "Claim VAT bad debt relief" to claim the VAT, allowed from six months after the due date.
