Every VAT client's position at HMRC, in one spreadsheet

HMRC's agent account shows one client at a time. This runs your whole list and gives you a spreadsheet: returns due and overdue, what is owed, the last payment, and any penalty points or charges, client by client.

What the spreadsheet holds for each client

  • Open VAT periods, each with its due date, and how many are overdue.
  • The amount outstanding and the oldest unpaid due date.
  • The date and amount of the last payment HMRC recorded.
  • Penalty points, and any late submission or late payment charges with the amount.
  • The effective date of registration and whether the client is on the flat rate scheme.

How a check runs

  1. Sign in to HMRC

    You connect your practice's agent services account to Accountin by signing in with HMRC. Accountin is given permission to read your clients' VAT records and is never shown your sign-in details.

  2. Choose the clients

    Every client in Accountin with a VAT number, or an uploaded list of names and VAT numbers.

  3. Wait for the run

    Accountin asks HMRC about each client in turn and shows progress on the page. A client HMRC cannot find is marked, and the run carries on.

  4. Take the spreadsheet

    Download it as a spreadsheet or CSV, or have it emailed to you. Overdue clients are listed first.

How it reaches HMRC

The check uses HMRC's published software interface for VAT, with your practice signed in and HMRC's consent screen. HMRC's <a href="https://www.gov.uk/government/publications/accessing-hmrcs-web-services/use-of-hmrc-sign-in-details-automation-and-accessing-hmrcs-web-services">policy paper of 27 May 2026</a> says software that signs in and reads the Government Gateway pages is not permitted, and names the software interface as the permitted route. This tool uses only that interface.

Until Accountin's own HMRC live credentials are in place, the check runs against HMRC's test service, which returns sample clients.

Questions

Can it do Self Assessment as well?

HMRC's software interface for Self Assessment covers only clients signed up to Making Tax Digital for Income Tax. A check for those clients will follow once Accountin's income tax access is live.

Is there a limit on the number of clients?

There is no limit in Accountin. HMRC limits how quickly software may ask, so a long list takes longer; the page shows progress.

Who in the practice can run it?

Anyone in the practice, once an owner has connected the agent services account.
